The same guests, five different tents
Every tent rental page in the country answers this question with "it depends." They are right, and it is a useless thing to be right about. So here is the specific number, and then what would change it.
What it depends on is not really the headcount. It is what those people are doing. A hundred guests standing at a cocktail reception need 800 square feet. The same hundred people seated at round tables need 1,200. That is fifty percent more tent for exactly the same guest list, and it is the difference between a 20x40 and a 30x45 on the rental order. Put them in a classroom setup for a seminar and it is 1,500. Nobody is being difficult: a person standing with a drink occupies about eight square feet, and a person at a round table has a chair behind them, a table in front of them, and a server who needs to get past.
Here is the whole spread, for one crowd of 150, before anything else goes under the roof:

Seated dinner at rounds takes 71 percent more floor than the ceremony that happened an hour earlier with the same people in it. That is why couples so often watch a tent that felt enormous during the ceremony turn tight at dinner, and it is the single most useful thing on this page.
Those per-person figures are not our invention. Every one of them comes out of published rental industry capacity charts, and we checked each against a second, independent source before using it. The classroom row is the one to hold loosely: quoted figures for classroom seating run from 10 to 18 square feet a head depending on how deep the tables are and how wide the aisles need to be, and we sit at 15. The rest are tight bands the industry genuinely agrees on.
The formula
dance floor = guests × 50% × 4.5 square feet per dancer, minimum 144
add-ons = dance floor + (buffet tables × 100) + (bars × 100) + stage (DJ 100, band 200) + head table 100 + (small tables × 50)
total = seating + add-ons, always rounded UP
tent = the smallest size a rental company actually stocks that covers the total
site footprint = tent + 3 feet a side for a frame tent, + 7 feet a side for a pole tent
The last two lines are the ones that matter. A calculator that hands you 2,738 square feet has not answered the question, because nobody rents 2,738 square feet. Tents come in the sizes that come off the truck, so this page ends at a real one, always rounding up to the next stocked size and never down. A tent that is four percent too small is one hundred percent the wrong tent.
And the site footprint line is the question your rental company will ask you first. Stakes and guy lines live outside the canopy, so the ground you need is always bigger than the tent you ordered.
Worked example
A wedding reception: 150 guests, seated at 60 inch rounds, with a dance floor, two buffet tables, a bar, a DJ, a head table, and a cake and gift table.
The seating is the easy part. 150 guests × 12 square feet = 1,800 square feet. If you stopped there you would order a 30x60, and it would be a disaster.
Everything else still stands on the floor. The dance floor is 150 × 50 percent = 75 dancers × 4.5 square feet = 338 square feet, roughly a 19 foot square. Two buffet tables are 200. The bar is 100. The DJ is 100. The head table is 100. The cake and gift tables are 100. That is 938 square feet of add-ons, which is 34 percent of the finished tent given over to floor nobody is sitting at.
Total: 2,738 square feet, or 18.3 square feet a guest. The smallest tent in normal rental stock that covers it is a 40x80, which is 3,200 square feet and leaves 462 square feet of headroom. That is two sizes up from the 30x60 the seating alone would have bought you.
The cross-check that makes us believe it: the rental guides that skip the arithmetic and publish one all-in figure put a plated dinner with dancing at 20 to 22 square feet a guest. Our 40x80 works out to 21.3. We built the number from parts, they measured it whole, and the two land on the same tent.
One more thing before you call anyone. That 40x80 needs a clear 46 by 86 of level ground as a frame tent, or 54 by 94 as a pole tent, because the stakes go outside the canopy. And at 3,200 square feet it is comfortably over the 400 square foot line where the fire code requires a permit.
The add-ons are what actually go wrong
People are good at counting guests and terrible at counting everything else. In the example above, a third of the tent had nothing to do with seating anyone. Here is what each piece takes, and why.
The dance floor is the big one, and there are two ways to size it. The rental trade publishes a flat 2 to 4 square feet per guest. Event planners use 4.5 square feet per dancer with 33 to 50 percent of the room up at once. We use the second at the top of its band, because a dance floor is used at its peak or it is not used at all, and a floor sized for the average is a floor that is packed for the only hour anyone remembers. For 150 guests that is 338 square feet, which works out to 2.3 square feet a guest, comfortably inside the trade's own 2 to 4. Two different methods reaching the same place is the best evidence either of them is right. Below about 64 guests both methods fall under 144 square feet, and 12 by 12 is the smallest dance floor rental companies stock, so that becomes the answer.
A buffet table is 100 square feet, and one is usually not enough. The serving convention is one buffet line per 75 guests, because a single line for 200 people is a twenty five minute queue and cold food at the back of it. The 100 square feet is not the table, it is the table plus the room people need to move along it with a plate.
A bar is 100 square feet. Same reasoning, and worth putting somewhere other than beside the dance floor unless you enjoy watching two crowds fight over the same six feet.
A DJ is 100 square feet and a band is 200. This is one place published sources disagree: rental companies allow 100 for a DJ area, and at least one event planning source allows 200 for a DJ booth. We use 100 for a DJ and 200 for a band or stage, and note that a full band with amps wants at least 12 by 16, which is 192, so 200 is the floor rather than the ceiling.
A head table is 100 square feet, roughly what eight people at a long table plus the space behind their chairs takes.
Cake, gifts, place cards, favors, guest book: 50 square feet each. This one is ours. Nobody publishes a figure for it, and we are not going to pretend they do. It is half a buffet table, on the reasoning that people walk past these rather than queue at them. Two of them cost you a hundred square feet, which sounds trivial until you notice it is the difference between fitting in one tent size and needing the next.
Pole tents, frame tents, and the pole in your wedding photos
A pole tent is held up by center poles standing inside the footprint, with the fabric pulled into tension by guy lines staked into the ground outside it. High swooping peaks, the look most people picture when they picture a tent, and generally the cheaper way to cover a big span. The catch is in the name: those center poles are in your room. A 60 inch round with a pole through it loses two seats, and a pole in the middle of a dance floor is the thing people photograph and complain about.
A frame tent is built on an aluminum frame with nothing in the middle. Clear span, so the floor plan is entirely yours. It can be ballasted with weights instead of staked, which means it will go on asphalt, a deck, or a courtyard where a stake is impossible, and it can butt right up against a building to link a tent to a house. It costs roughly 20 to 30 percent more, and above about 40 feet of width you are into clearspan structures rather than standard frame stock.
The practical rule: if your plan has a dance floor, a stage, or a head table in it, take the frame tent. If it is open seating under a roof, a pole tent is usually the better value and the better looking of the two.
Things to know before you call a rental company
This is the part nobody puts on a calculator, and it is the part that decides whether your event happens.
You need more ground than tent. Stakes and guy lines sit outside the canopy. Figure about 3 feet on every side for a frame tent and about 7 for a pole tent, so a 40x80 wants a clear 46 by 86 or 54 by 94 respectively. Measure the actual space, including the tree that overhangs one corner and the fence that stops the truck.
Level ground, and know what is under it. A tent stake goes roughly 42 inches into the ground. Septic fields, irrigation lines, buried electrical, and gas runs are all things you want located before install day, not during it. Most areas have a free utility locating service and it is worth the phone call. Slope matters too: a tent on a grade is legal, unpleasant, and a genuine problem for a dance floor, which has to sit flat.
Permits are real and they are yours. Section 3103.2 of the International Fire Code says a tent over 400 square feet may not be erected or operated without a permit and approval from the fire code official. Four hundred square feet is a 20x20, so essentially every real party tent is over the line. The same chapter wants 20 feet of separation from lot lines, buildings, parked vehicles and internal combustion engines, and 12 feet between tents that are not being treated as one. Codes are adopted state by state and amended locally, and jurisdictions get noticeably stricter about sidewalls, heaters, and anything with a flame in it. Call your fire marshal early. They are almost always helpful in advance and never flexible on the day.
Power, and more of it than you think. Lighting, the DJ or band, the caterer's hot boxes and coffee urns, and any heating or fans. Household circuits run out fast, and a generator has to sit far enough away that nobody is shouting over it during the toasts. Ask your rental company what the tent lighting draws before you assume an extension cord to the garage will do.
Weather, and the thing about sidewalls. Sidewalls are what make a tent usable in wind and rain, and they are also what turns it into a sail. A tent with all four sides open lets wind pass through; the same tent walled in has to resist the entire load, which changes the anchoring requirement and is why a rental company may refuse to wall a tent that is only ballasted. If you plan to add heat, you are almost certainly walling it, so decide early and tell them, because it affects the install and often the permit.
A site visit beats any calculator. An awkward yard with a slope, a big tree, a retaining wall, and a gate the truck cannot fit through is a set of constraints no page can see. Rental companies send somebody to look, usually free, because a wasted hour is much cheaper for them than a failed install. Use the number on this page to have an informed conversation, then let them walk the site.
Why we do not just quote a capacity chart
Almost every rental company publishes a table of tent sizes with a guest capacity beside each one. Those tables are genuinely useful, and there is one thing worth understanding about how they are built before you order from one.
Here is the arithmetic, using figures from a chart we checked. It lists a 20x20 tent at 40 guests on 4 round tables, and a 40x100 at 400 guests on 40 tables. The same company helpfully publishes a furniture table too, which allows 100 square feet for one 60 inch round with its chairs. Multiply it out: 4 tables at 100 square feet is 400, and a 20x20 is 400 square feet. Forty tables is 4,000, and a 40x100 is 4,000. So a capacity chart is a seated maximum, the point where the tables themselves just fit, before you add an aisle, a server's path, or the room a chair needs when somebody pushes it back. That is a completely reasonable thing for a chart to mean. It is just not the number you order from, and now you can spot it in any chart you are handed.
That is why this page prices circulation into the per-person figure rather than counting tables, and why it stops short of the theoretical maximum every time. It is also why, for round tables specifically, we will not hand you a tent longer than 2.5 times its width even when the square footage works. Round tables tile a room in a grid, not a line. Strung out down a corridor, the party spreads end to end, the back third is a hike from the bar, and every server crosses the whole room on every trip. Long banquet tables get no such rule from us, because a long tent is exactly what a long table wants.
